This policy explains what personal information we collect when you visit our website or get in touch with us, why we collect it, how we look after it and what your rights are. We’ve kept it in plain English. If anything isn’t clear, just ask us.
Who we are
This website, maidanbuild.co.uk, is run by Maidanbuild Homes Limited, a company registered in England and Wales (company number 11122127). We’re the “data controller” for the personal information described here, which means we decide how it’s used and we’re responsible for looking after it.
- Address: Tagus House, 9 Ocean Way, Southampton SO14 3TJ
- Email: Maidanbuild@gmail.com
- Phone: 07788 975194
The information we collect
When you send us an enquiry
If you use the enquiry form on our Contact page, we ask for your name, phone number, email address and postcode, plus some details about your project: what you’d like from us (a quote, a site visit or an answer to a question), the type of project, a rough budget, a preferred day for a site visit and a message. Only give us the details you’re happy to share.
When you press send, the form emails your enquiry to our inbox. The website itself doesn’t keep a copy.
When you call, email or message us
If you phone, email or message us on WhatsApp, we’ll have whatever details you give us, such as your name, number, address and information about your project. If you click one of our WhatsApp buttons, WhatsApp opens with a ready-written message to us. Nothing is sent until you press send in WhatsApp.
When you become a customer
If we work together, we’ll also keep the information needed to run your project: your address, quotes, contracts, work and payment schedules, variation forms, invoices, payment records and our correspondence with you. We may take photos of the work as it progresses. We’ll only use photos of your home on our website or social media if you’ve agreed to it, and we won’t show your address.
When you browse the website
Like every website, our web server receives technical information such as your IP address and browser type so it can show you the pages. We also use a simple visitor counter (Koko Analytics) that runs on our own website: it counts how many times each page is viewed and which website sent you here (for example Google). It doesn’t use cookies, doesn’t store your IP address and doesn’t identify you. We don’t use Google Analytics or any advertising tools, and we don’t build profiles of visitors.
How we use your information and why we’re allowed to
- To reply to your enquiry, arrange a site visit and prepare a quote. We do this because you’ve asked us to, before entering into a contract (and because it’s in our legitimate interests to respond to people who contact us).
- To carry out and manage your project, including scheduling, payments and aftercare. This is necessary for our contract with you.
- To keep records required by law, such as tax and accounting records. This is a legal obligation.
- To keep the website running safely and protect it from misuse. This is in our legitimate interests.
- To remember your cookie choices and, only if you agree, to load content from Instagram. This is based on your consent, which you can change at any time.
We will never sell your information, and we won’t send you marketing emails or newsletters.
Who we share it with
We only share your information when we need to, and only with:
- Our website host, hosting.com, whose servers are in London and store the website.
- Google, which provides our email (Gmail). Your enquiry is stored in our Gmail inbox.
- Specialists working on your project, such as an architect, electrician or plumber, who need your name, address or contact details to do their part of the job. We only share what they need.
- Our accountant, insurers and professional advisers, where needed.
- Authorities such as HMRC, building control or the police, if the law requires it.
Some of these companies, such as Google, and the services described under “Content from other websites” below, may process information outside the UK, including in the United States or the EU. Where that happens, they use the safeguards required by UK data protection law, such as the UK–US “data bridge” or approved contract terms.
Cookies
Cookies are small files that a website saves in your browser. When you first visit our site, a banner asks what you’re happy with. You can accept all, choose essential only, decline, or pick by category under “Preferences”.
- Essential: a cookie that remembers your cookie choice, so we don’t ask you every time. We also keep a short record of the choice (the date and time, your choice, your IP address and approximate country) so we can show that consent was given properly. Our own team also gets login cookies when we sign in to manage the site. Visitors don’t.
- Marketing and third-party: Instagram can set its own cookies. We only load them if you agree. Until then, you’ll see a simple link instead.
Our website fonts are stored on our own server, so no font service sees your visit. You can change your mind at any time by clearing the cookies for maidanbuild.co.uk in your browser settings. The banner will then appear again on your next visit.
Content from other websites
- Google reviews: our homepage shows our Google reviews using a service called Trustindex. The review cards and reviewers’ profile pictures load from Trustindex’s and Google’s servers, which will see your IP address, as with any website you visit.
- Instagram: some service pages show posts from our Instagram account, run by Meta (only after you accept cookies).
These companies handle your information under their own privacy policies. Links to other websites, such as our Google listing, Instagram and WhatsApp, take you to sites we don’t control.
How long we keep it
- Enquiries that don’t go ahead: up to 2 years, in case you come back to us, and then deleted.
- Customer and project records: 6 years after the work is finished, because of tax rules and so we can deal with any guarantee or aftercare questions. Some records, such as those relating to building work covered by a deed or a warranty, may be kept for longer, up to 12 years.
- Cookie consent records: only as long as we need them to show that consent was given.
Keeping it safe
Our website uses a secure (HTTPS) connection, so information you send through the form is encrypted on its way to us. Access to our email and website is limited to our team and protected by passwords.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that’s wrong
- ask us to delete your information (unless we have to keep it, for example for tax)
- object to, or ask us to limit, how we use it
- ask us to pass it to you or someone else in a common format
- withdraw your consent at any time, where we rely on it (such as for cookies)
To use any of these rights, email Maidanbuild@gmail.com or call 07788 975194. It’s free, and we’ll reply within one month.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first and we’ll do our best to put it right. You can also complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.
Children
Our website and services are for adults. We don’t knowingly collect information from children.
Changes to this policy
We’ll update this page if anything changes, for example if we add new features to the website. The date at the top shows when it was last updated.
